A shift refers to the period a staff is expected to perform their roles and responsibilities for the business.
This can be mostly accessed on the Schedule View page accessed from the left navigation pane. Tip: Scheduled/worked shift related data for staff can be reviewed in staff performance.
Brisk Schedules also allows quick/automated shift creation and assignment: Shift Details
These are the details available during shift creation/editing:
NOTE: Some shift details are not always visible depending on the type of Shift and set shift details.
- Shift Name
- Optional name to provide more information - Staff Members
- Assign the shift to one or more staff
- Or click on the Open Shift checkbox to make this an unassigned shift. - Slot
NOTE: This is only visible if Staff Members is assigned to be an Open Shift.
- This refers to the number of times an Open Shift will be assigned to staff during Auto Schedule for that shift date.
Example: A slot of 3 will assign this Open shift to 3 staff during Auto Schedule (if enough staff will qualify based on the Auto Schedule rules).
- Repeat
- Specify if this is a Recurring shift or not:
Select Never if this shift occurs only once;
Or select Weekly if this shift occurs weekly (Selecting this Option will make this a Recurring Shift). - Shift Date
NOTE: This is only visible when Repeat is set to Never
- Date of the shift - Recur every X weeks(s)
NOTE: This is only visible when Repeat is set to Weekly
- Specify how often shift will occur - Repeat On / On
- Choose the days this shift occurs - Date Start
NOTE: This is only visible when Repeat is set to Weekly
- Specify date the recurring shift starts - Date End
NOTE: This is only visible when Repeat is set to Weekly
- Specify date the recurring shift will end
- Time Start
- Specify shift start time - Time End
- Specify shift end time - Total Hours
- An automatic total shift hours computed based on the Time Start and Time End - Break Type
NOTE: Depending on the chosen value, some Shift details may show/hide as applicable
- Select if there are any defined break type for this shift:
Select Unpaid for an unpaid break time;
Or select Paid for a paid break time;
Or select None if there is no break specified. - Break Duration
NOTE: This is only visible if Break Type is not set to None
- Specify break duration in minutes (This should not be zero to save the Break details)
- Valid minute value is from 1 to 1440 (Full Day) only - Break Start
NOTE: This is only visible if Break Type is not set to None
- Optionally, specify break time start
- If provided, Break Start should be within the shift duration considering that Break Duration should not go beyond the Shift Duration
- Role
- Optionally, specify the shift role - Shift Color
- Select the color for this shift which will be visible in the Schedule View and in schedule reports
Special Shift Types
- Open Shift
- An unassigned shift used for Auto Schedule (Or can be manually assigned later to staff)
- To create an Open Shift, simply check Open Shift option under Staff Members during Shift Create/Edit - Recurring Shift
- Repeating shifts over a fixed period of weeks
- To create a Recurring Shift, simply select Weekly option under Repeat during Shift Create/Edit
Creating Shift
Quick Shift Creation Useful when a shift needs to be quickly added without any further details (can be edited later).
NOTE: This is currently not available for touchscreen devices.
- Go to Schedule View in the left navigation pane.
- To go to a specific date, adjust your type of Schedule View and navigate the visible week/month/day as needed.
- Click on a box in the calendar under the correct date and staff.
- Type in shift hours separated by a dash.
Example: Type "9 - 5" to quickly add a 9:00 AM to 5:00 PM shift - Press Enter key to create the shift.
Create Shift
Useful when creating a shift with more specific details. - Go to Schedule View in the left navigation pane.
- Do any of the following to open the Create Shift window:
- Click on the + Create Shift button on the upper right corner of the screen.
- Click on the round + button on the lower right corner of the screen. Then select Create Shift.
- Double click on a specific box in the calendar.
- Right click on a specific box in the calendar. Then select Add Shift
- Hover the cursor on a specific box in the calendar. Then click on the gray + button on the lower right corner that appears on the box.
- Edit the shift details in the Create Shift window.
NOTE: Refer to the Shift Details mentioned on top of this page for each item. - Click + Create Shift to save.
Editing Shift
- Go to Schedule View in the left navigation pane.
- Do any of the following to open the Edit Shift window:
- Click on any existing Shift box in the calendar.
- Right click on any existing Shift box in the calendar. Then select Edit from the menu.
- Edit the shift details in the Edit Shift window.
NOTE: Refer to the Shift Details mentioned on top of this page for each item. - Click Save Shift.
Deleting Shift
Delete a specific shift
Note: This is only allowed for Admin and Manager User Types. - Go to Schedule View in the left navigation pane.
- Do any of the following to delete a shift:
- Click on any existing Shift box in the calendar. The Edit Shift window will open. Then click Delete Shift.
- Right click on any existing Shift box in the calendar. Then select Delete from the menu.
Quickly Clear Schedule
Note: This is only allowed for Admin and Manager User Types. - Go to Schedule View in the left navigation pane.
- Navigate the visible week/month/day to specify the schedule to clear.
- Click the Clear Week text link.
TIP: If Clear Week is not immediately visible, kindly click the More Actions text link first. - Confirm clearing the current schedule in view by clicking Clear
NOTE: This will clear all shifts in view (Time Offs will not be removed)
Declaring "Can't Work Shift"
Note: This is only for Staff User Types. - Go to Schedule View in the left navigation pane.
- Click on any existing Shift box in the calendar. The Edit Shift window will open. Then click Can't Work Shift.
Doing this will trigger these actions: - Staff will be asked for reason why they can't work their assigned shift.
- Shift will be adjusted to be an Open Shift which can be used for Auto Schedule.
- Admins and Managers will receive an email notification with details on Staff and Open Shift schedule.
Assign Open Shift to Staff
- Go to Schedule View in the left navigation pane.
- Do any of the following to assign a shift to staff:
- Automatic Assignment: Use Auto Schedule to quickly assign Open Shifts to available staff.
- Manual Assignment: Click on any existing open shift to edit and assign it to one or more staff.
Other Shift Operations
Drag and Drop Easily move an existing shift to another schedule/staff.
- Go to Schedule View in the left navigation pane.
- Click and hold on any existing shift.
- Drag it to any visible calendar box and drop it.
Copy/Cut and Paste Copy/Move an existing shift to another schedule/staff.
- Go to Schedule View in the left navigation pane.
- Right click on any existing shift.
- On the menu:
- To only do a copy (retain current shift), click Copy.
- To copy and remove the current shift (essentially move), click Cut.
- Right click on any visible calendar box to see the menu, then select Paste to copy/move the shift.
